How to Configure Settings, Team, Integrations, and More

This guide walks you through the Members, CRM, Payments, Shipping, Settings, Team, Integrations, Emails, and Locations pages in your WineView dashboard — where to find everything and how to complete common tasks.

Members

What You See When You Open the Members Page

Navigate to Members in the sidebar (under Club Management). The Members page shows a table of all your wine club members. Each row displays:

Name — the member's full name
Email — their email address
Status — their current membership status (Active, Past Due, Paused, Canceled, Staged, etc.)
Type — whether they're in a Subscription or Release club
Joined Date — when they became a member
Pending Pickups — number of orders waiting for in-store pickup
Pending Shipments — number of orders waiting to be shipped

Above the table you'll find:

Status filter tabs — click Active, All, Past Due, Paused, or Canceled to narrow the list
Type filter — filter by All, Subscription, or Release members
Search bar — search by name, email, or member ID

Adding a Member

Click the Add Member button at the top right of the page
A sidebar opens on the right — fill in the member's details (name, email, club, tier, fulfillment method, address, etc.)
Complete the form and save

Viewing Member Details

Click any member row to open the detail sidebar. From here you can:

View their profile information (name, email, address, phone)
See their subscription details (club, tier, status, billing schedule)
Review payment history — every charge, its status, and fee breakdown
Check reward usage — which rewards have been redeemed, current cycle usage, and remaining redemptions
Process fulfillment directly from the sidebar — trigger a shipment or mark a pickup as complete without leaving the page
Change tier — move the member to a different tier (takes effect next cycle)
Pause, Cancel, or Resume the membership
Retry Payment — manually retry a failed charge

Exporting Members

Click the Export button to download a CSV file of your member list. The export respects your current filters, so if you're viewing only Active members, only Active members are exported.

CRM

What You See When You Open the CRM Page

Navigate to CRM in the sidebar (under Club Management). The CRM page shows all your contacts in one place, organized by type:

Members — people enrolled in your wine clubs
Prospects — potential members who haven't joined yet
Staged — contacts set up in the system but not yet activated (pre-assigned to a club and tier, but billing hasn't started)
Customers — people who've made purchases but aren't club members (including ecommerce customers)

At the top of the page is a stats bar with type pills showing the count for each contact type. Click any pill to filter the table to that type.

When you select a type, sub-status filters appear below. For example, selecting Members reveals sub-filters for Active, Past Due, Paused, and Canceled. Selecting Prospects may show different sub-statuses relevant to that type.

You can also:

Search by name, email, or contact ID
Select multiple contacts using the checkboxes on the left for bulk actions
Click Add Contact to create a new prospect or member manually
Click Import to open the bulk import wizard (see below)

CRM Import — Bulk Importing Contacts

The import wizard walks you through five steps to bring in contacts from a spreadsheet.

Step 1: Upload Drag and drop a CSV or XLSX file onto the upload area, or click to browse. Files can have up to 5,000 rows and must be under 10MB.

Step 2: Map Columns WineView's AI automatically maps your spreadsheet columns to the right fields (name, email, phone, address, fulfillment method, etc.). Each mapping shows a color-coded confidence indicator:

Green — high confidence, likely correct
Yellow — moderate confidence, worth reviewing
Red — low confidence, needs your attention

Review each mapping and adjust any that aren't right by selecting the correct field from the dropdown.

Step 3: Review A preview table shows how your data will be imported. You can:

Double-click any cell to edit it inline before importing
Assign clubs and tiers to contacts — use the dropdowns to place contacts into specific clubs
Contacts that aren't assigned to a club will be imported as Prospects

Step 4: Processing A progress bar shows the import running in real time. You'll see updates as each row is processed.

Step 5: Complete A summary screen shows:

How many contacts were successfully imported
How many were skipped (with reasons — duplicate emails, missing required fields, etc.)
Any errors with details on what went wrong

Payments

Before Stripe Is Connected

Navigate to Payments in the sidebar (under Business Management). If you haven't connected Stripe yet, you'll see an onboarding screen explaining what Stripe does and why it's needed. Click the Let's go! button to start the Stripe connection flow. You'll be taken to Stripe to create or link your account, then redirected back to WineView.

After Stripe Is Connected

The Payments page has two tabs: Payouts and Transactions. See the Payments and Payouts guide for full details on every card, table, and filter.

Shipping

What You See When You Open the Shipping Page

Navigate to Shipping in the sidebar (under Business Management). The Shipping page is where you configure which U.S. states your business ships to. This setting applies across all your locations and listings.

How to Configure Shipping States

Use the search bar at the top to find a state, or scroll through the alphabetical list
Toggle a state on to allow shipping there — toggled states appear as removable chips at the top of the page
Toggle a state off (or click the × on its chip) to stop shipping there
Click Save Changes when you're done

Changes take effect immediately. Members in states you remove will not be able to place new shipping orders until you re-enable their state.

Settings

Navigate to Settings in the sidebar (under Business Management).

The page header shows:

Title: Business Settings
Subtitle: "Manage your business profile and settings"
Settings icon in the header
A Business-wide badge with a globe icon at the top right, indicating these settings apply to all locations

Three tabs below the header: Profile | Contact | Theme

Profile Tab

Navigate to Settings in the sidebar, then click the Profile tab.

A card with the following fields:

Business Name — text input for your business name as it appears across WineView
Business Type — dropdown to select your business type (winery, wine bar, brewery, etc.)
Description — textarea for a short description of your business
Website — text input for your business website URL, with a link button to open it in a new tab

At the bottom right: Save Changes button (shows Saving... while saving).

Contact Tab

Navigate to Settings in the sidebar, then click the Contact tab.

A card with:

Title: Contact Information
Subtitle: "Update your contact details for customers and the platform"

Fields:

**Contact Name *** — required text input
**Contact Email *** — required email input
Contact Phone — phone input (optional)

At the bottom, two buttons:

View Public Profile (outline style, left side) — opens your public business page in a new tab
Save button (right side, shows Saving... while saving)

Theme Tab

Navigate to Settings in the sidebar, then click the Theme tab.

Three card sections:

Business Logo card:

Title: Business Logo
Shows a preview of your current logo (or a camera placeholder if none uploaded)
Upload Logo button (or Change Logo if a logo is already uploaded, or Uploading... during upload)
When you click Upload Logo / Change Logo, a file picker opens. After selecting an image, a crop modal appears titled Crop Business Logo with the subtitle "Adjust your logo to fit a square format"

Brand Colors card:

Title: Brand Colors
Two color fields side by side:
- Primary Color — color picker circle + hex input (e.g., #FF0000)
- Secondary Color — color picker circle + hex input (e.g., #00FF00)

Preview card:

Title: Preview
Shows your business name, logo, and sample Primary Button and Secondary Button rendered with your chosen colors so you can see how your branding will look

At the bottom, two buttons:

View Public Profile (outline style, left side) — opens your public business page
Save Changes button (right side, shows Saving... while saving)

Team

Navigate to Team in the sidebar (under Business Management). For full details on team management, roles, permissions, and inviting members, see the Team and Permissions guide.

The Team page shows four tabs:

Team Members — everyone on your team with their name, email, role(s), and status
Invitations — all pending and expired invitations with the invitee's email, assigned role, date sent, and expiration
Roles — your custom roles with their assigned permissions
Staff — staff members tracked for attribution (name, title, date added)

Quick Reference

To invite someone: click Invite Member at the top right → enter their email → select roles → send
To change someone's role: find them on the Team Members tab → click the three-dot menu → click Manage Roles
To create a new role: go to the Roles tab → click Create Role → name it, toggle permissions, and save
To deactivate someone: find them on the Team Members tab → click the three-dot menu → click Deactivate (owner only)
To add staff: go to the Staff tab → click Add Staff → fill in name and title

Integrations

What You See When You Open the Integrations Page

Navigate to Integrations in the sidebar (under Business Management). See the Integrations guide for full details on every card, field, and button for Toast, Shippo, and Vinoshipper.

The Integrations page shows a grid of integration cards. Each card displays:

The integration name and logo
The current connection status (Active, Inactive, Pending, Error, or Not Connected)

Currently available integrations:

Integration	What It Does
Toast POS	Syncs inventory from your point-of-sale and enables automatic reward redemption at the register
Shippo	Generates shipping labels, provides real-time carrier rates, and tracks shipments
Vinoshipper	Wine-specific shipping with compliance handling and age verification

You'll also see cards for planned integrations (ShipCompliant, Klaviyo, Mailchimp) marked as coming soon.

How to Connect Toast

Click the Toast card on the Integrations page
Your WineView Location ID is displayed on the page — copy it
In a separate tab, open Toast Web (pos.toasttab.com) and go to Setup > Integrations
Search for WineView Clubs
Paste your Location ID into the field provided and confirm
Come back to WineView and click Check Connection Status

Once the status shows Active, your Toast menu items will begin syncing into your WineView inventory.

How to Connect Shippo

Click the Shippo card
Choose scope: Business-wide (recommended) — one connection covers all your locations
Enter your Shippo API token (found in your Shippo account settings at apps.goshippo.com/settings/api)
Click Connect Shippo

How to Connect Vinoshipper

Click the Vinoshipper card
Choose scope: Business-wide (recommended)
Enter your API Key and API Secret (contact support@vinoshipper.com if you need help finding them)
Optionally click Test Connection to verify your credentials before connecting
Click Connect Vinoshipper

Emails

What You See When You Open the Emails Page

Navigate to Emails in the sidebar (under Business Management). The Emails page lets you preview and test every email template WineView sends on your behalf — before any real member sees them. See the Notifications & Emails guide for the full list of email types by category.

At the top of the page:

Test email address — enter the email where you want to receive the test
Club selector — choose which club's branding and content to use (shows club type as a color-coded badge: blue for Subscription, purple for Release, green for Membership-Only)
Fulfillment type selector — pick the fulfillment type (Pickup or Shipping) to see the correct template variation. Only appears when the selected club supports both.

Below that, email templates are organized into three category tabs: Club Emails, Store Emails, and Release / Enrollment Emails. Each template is shown as a card with an emoji icon, label, description, and a Send Test button.

Locations

What You See When You Open the Locations Page

Navigate to Locations in the sidebar (under Business Management). The page header shows Locations with a MapPin icon. The Add Location button is at the top right (owner only).

The page shows a grid of cards, one for each of your business locations. Each card displays:

Location name — the name of the location
Address — street, city, state, zip
Contact information — contact name, email, phone (below a divider)
Badges at the top right of the card:
- Primary (wine-colored) — your main business location (first location in the list)
- Ships From (blue, with Truck icon) — the default origin location for shipping labels
- Inactive (gray) — the location is currently disabled (card also appears dimmed)

Click any location card to open its detail page.

Creating a New Location

Click the Add Location button at the top right of the Locations page (owner only)
The Add Location page opens with three sections:

Location Details card:

**Location Name *** — required text input (e.g., "Downtown Tasting Room")

Contact Information card:

**Contact Name *** — required text input
**Email *** — required email input
Phone — optional phone input

Location Address card:

Full address form: Street Address, Apartment/Suite (optional), City, State (dropdown), Zip Code
Address is automatically validated — a green "Address verified" message appears when valid
If validation fails, you can click Use Address Anyway to proceed

At the bottom:

Cancel button (left) — returns to the Locations page
Create Location button (right, shows Creating... during submission)

Editing a Location

Click any location card to open the detail page, where you can edit:

Location name
Contact information (name, email, phone)
Full address (street, apartment/suite, city, state, zip)
Location Status — toggle a location Active or Inactive. Deactivating a location preserves its inventory, templates, and history.
Shipping Settings — shows the current default shipping location. You can click Set as Default to make this location the default origin address for shipping labels.
Deactivate Location — available for non-primary locations only

At the bottom:

Cancel button — discards changes
Save Changes button — saves edits

Setting the Default Shipping Location

From a location's detail page, click the Set as Default button in the Shipping Settings section to designate it as the default Ships From location. This is the origin address used on shipping labels when no specific location is assigned to an order. Choose the location that handles most of your shipping volume.

Location-Scoped Pages

Each location has its own set of location-scoped pages in the sidebar: Inventory, Templates, Rewards, and Location Settings. When you switch between locations (via the UserMenu), these pages update to show that location's data. Business-group-level pages remain the same regardless of which location is selected.
